ReplyReady needs a small set of personal, billing, and security data to score drafts, run the product, and protect the service from abuse. This page explains what we collect and how we use it.
1. What this policy covers
This Privacy Policy explains what ReplyReady collects, why it collects it, and how Kindolab uses it.
It applies when you score a draft, start or manage a paid subscription, contact us, or otherwise use ReplyReady.
2. Information we collect
When you use the scoring form, we collect the email address you enter, the subject line you submit, the email body you submit, and the score output created for that submission.
We also collect technical and abuse-prevention signals such as request timestamps, IP-derived hashes, duplicate-content fingerprints, and challenge verification results. We use these to keep the free product usable and to block spam, bots, and repeated abuse.
If you purchase Pro, Paddle handles payment collection. We may receive subscription status, customer identifiers, transaction identifiers, and related billing events from Paddle. ReplyReady does not store your full payment card details.
3. How we use information
We use your email address and submitted draft to deliver the score you requested, enforce free-plan and Pro-plan rules, and provide support if something goes wrong.
We use technical, security, and billing information to keep the service running, investigate abuse, monitor reliability, and activate or deactivate Pro access.
4. AI processing and service providers
ReplyReady relies on third-party providers to operate the product. Drafts submitted for scoring may be processed by models hosted through Nebius in order to generate the diagnosis. Abuse checks may be processed through Cloudflare Turnstile. Billing is handled through Paddle. Product data is stored in PostgreSQL infrastructure operated by or for Kindolab.
We share data with these providers only when needed to run the service, protect it, and process subscriptions.
5. Retention
We keep score submissions, score outputs, billing state, and operational logs for as long as reasonably necessary to run ReplyReady, enforce plan limits, troubleshoot issues, comply with legal obligations, and protect the product from abuse.
When data is no longer needed for those purposes, we may delete it or anonymize it.
6. Sharing
We do not sell personal information.
We may share information with providers that help us host, secure, and bill for ReplyReady. We may also disclose information when required by law or when reasonably necessary to enforce our Terms, prevent fraud, or protect Kindolab, our users, or others.
7. Security
We use reasonable technical and organizational safeguards to protect data handled by ReplyReady.
No system is perfectly secure, so we cannot promise absolute security.
8. Your choices
If you want us to update or delete information associated with your email address, contact us at hello@kindolab.com.
We may need to keep some records where retention is required for security, billing, tax, fraud prevention, or legal compliance.
9. Children
ReplyReady is not directed to children under 18, and we do not knowingly collect personal information from children.
10. Changes
We may update this Privacy Policy from time to time. When we do, we will update the effective date on this page. Continued use of ReplyReady after an update means the updated policy will apply.
